Five ways to speed up event check-in
The check-in desk is the first real touchpoint of your event. A slow queue sets a frustrating tone before the doors even open. These five tactics keep the line moving.
1. Send QR codes ahead of time
Every confirmed attendee should receive a unique QR code by email the moment they register. On arrival, staff scan it in about a second — no searching a printed list.
2. Use more than one scanning device
Any phone or tablet with a browser becomes a scanner. For a 500-person event, three or four devices clear arrivals in minutes.
3. Pre-print badges
Generate badges with embedded QR codes in advance and sort them alphabetically, or print on demand at the desk.
4. Separate registered and walk-in lanes
Walk-ins take longer. Give them a dedicated lane so they never block guests who already registered.
5. Watch arrivals in real time
A live dashboard shows how many guests are in the room, so you can open another lane before a queue forms.
